Move your appointment book without losing track of a booking.

Changing booking software is not just importing a client file. Use this checklist to prepare your Australian salon or barbershop, test the new calendar and make one clear cutover. It describes a cautious process, not a promise that every field imports automatically.

Before you export: take an inventory

Write down every place a client can currently book: your website, Instagram, Google profile, QR codes, email signature and any marketplace profile. Record which link controls each channel so you can change one source at a time.

List your bookable staff, services, durations, prices, opening hours, breaks and future appointments. Flag recurring bookings, deposits, prepaid balances and clients with an active cancellation policy for manual review. Do not assume all of those fields exist in a CSV.

Choose a quiet cutover window and one person who owns the checklist. Tell the team which calendar is authoritative during the overlap. Two live booking links writing to different diaries can create a double-booking even when each system protects its own slots.

Export and check the files

Export client and appointment data from the old system, then keep the original file in a restricted location. Trimelo has dedicated imports for Fresha, Timely and Square, plus a generic CSV path. If you are leaving another tool, inspect its export columns before assuming the generic path will accept them.

Open the files and spot-check names, phone numbers, email addresses, service labels, appointment dates and staff assignments. Compare row counts before and after import. Record missing or ambiguous fields instead of silently guessing how they map.

Treat marketing consent separately from a contact record. A phone number in a CSV does not by itself mean that person asked to receive waitlist or campaign messages. Review opt-in status before enabling an outreach workflow.

Configure a test book before sharing a link

Set the salon or barbershop timezone, staff, service durations, eligible staff and opening hours. Test a short service, a longer service, a staff break and a busy multi-chair period. Check the booking page and staff calendar show the same available times.

Make a test booking, reschedule it and cancel it. Check what the client sees and which confirmation or reminder is sent. If you use deposits or card-on-file cancellation terms, review the consent wording in the booking flow before taking a real payment.

If you want SMS cancellation backfill, start with a small list of clients who opted in to waitlist offers. Confirm the offer window and the one-client-at-a-time sequence before relying on it to refill a peak-time cancellation.

Cut over one booking channel at a time

Choose which diary accepts new public bookings during the overlap. Keep the other calendar visible for reference, but do not publish two active links for the same staff and services. Manually reconcile any appointments taken during the transition.

Switch the website link first, then your Instagram bio, Google profile and other saved links. Book from a private browser on a phone after each change; verify that the confirmation points to the new appointment and that staff can see it in the correct timezone.

Keep the old subscription until you have checked upcoming appointments, completed a real checkout and confirmed refunds or existing payment obligations have a home. Export one last archive before you close the old account.

When Trimelo is not the right migration target

Trimelo does not provide a consumer marketplace. If most new clients currently discover you through your old provider's marketplace, plan a separate acquisition channel before leaving it.

Retail inventory, a publicly available staff iOS app and an AI voice receptionist are not current Trimelo capabilities. If any is essential for your business today, keep that requirement on the decision sheet rather than treating a roadmap item as shipped.
